I. Job Overview:
We are looking for an experienced and dynamic candidate to join our team as a Senior Leasing and Event Coordinator, specializing in retail and commercial leasing while staying focused on planning, and executing various types of events for individuals, corporations, or organizations, ensuring the seamless execution of events, ranging from wellness-related activities, corporate exhibitions, conferences, networking, common celebrations, management lease of removable kiosk/food counters, with a specific emphasis at the Nexus Square.

Situated at the heart of the CBD in HCMC and nestled between the two office towers of The Nexus and VPBank Saigon Tower, the Nexus Square encompasses a dynamic 1,200 sqm landscaped public space. Our vision is to transform Nexus Square into a new event destination in the CBD, offering a vibrant space for approximately 8,000 office employees and catering to the needs of Tenants and the surrounding local business community. With a focus on meetings, gatherings, work-life enjoyment, and diverse experiences, Nexus Square aims to be a hub for business, leisure, and cultural activities, creating a unique and thriving environment. II. Responsibilities:

Generally, the successful candidate will be responsible for:
(1) Tenant/third party relations;
(2) Programming the use/events at the Nexus Square;
(3) Organisation and management of Use/Events at the Nexus Square (N-Sq).

Event Planning and Management:

  • Being the primary contact point for event opportunities at N-Sq.
  • Plan, organize, and execute diverse events to enhance N-Sq’s appeal as a community hub for office tenants of The Nexus.
  • Collaborate with internal stakeholders to conceptualize and implement engaging events including wellness-related activities, F&B activities, corporate exhibitions, conferences, networking and common celebrations.
  • Develop event timelines and comprehensive plans to ensure N-Sq is consistently filled with activities.
  • Prepare quotations, layouts, proposal and contracts. For the purpose of seeking approval, track and give proper assessment and consultancy to the Event host/Agency on the proposed Event operation schedule, event set-up & removal plan, required technical organization, decoration materials, logistics, promotional staffing, target audience and target footfall etc. Set clear direction to attract proper event & engagement activities to N-Sq.
  • Ensure close coordination with Asset Manager and Property Management Team to oversee the whole course of events, and address any issues raised that may conflict with standard office operations.
  • Manage event leasing, prepare and seek internal approvals for each event occurrence and ensure the overall plans set clear direction and meet the landlord’s standard requirements.
  • Conduct periodical reporting for post-event evaluations to assess success and gather feedback for improvement.

Leasing coordination:

  • Communicate the promotional space for The Nexus and its Tenants.
  • Continue providing initiatives to make N-Sq a desirable space for events.
  • Develop and execute comprehensive leasing strategies to attract a diverse mix of internal office tenant users and external users.
  • Conduct market research to identify potential tenants/events, negotiate leasing conditions and agreements, manage the leasing process from start to finish.
  • Cultivate and maintain strong relationships with current and prospective tenants and event
    organizers to maintain a vibrant and cohesive user mix.
  • Mitigate any conflicts and risks in rental, branding, hygiene, safety, etc.

Community Engagement:

  • Foster positive relationships with the existing office tenants, surrounding hotel and office
    buildings, commercial relationships, potential new Clients, Advertising Agencies, individuals and government entities to enhance N Sq’s standing as a premier space for events.
  • Maintain close coordination with the Refico Marketing team.

Financial Management:

  • Develop and manage budgets for leasing activities and events, ensuring cost-effective strategies and responsible financial stewardship.
  • Monitor financial performance and implement adjustments as needed to achieve financial goals.
  • Prepare and present the periodical leasing and event management reports including planning, budgeting, execution, forecast and finance performance.

III. Qualifications:

  • Bachelor’s degree in Business Management, Marketing, and Hospitality; advanced degree is a plus.
  • Proven experience in leasing and events management, with a minimum of 2 years in a senior-level role.
  • Understanding of marketing, promotions and events, with ability to manage projects from
    initiation through delivery to completion and review.
  • Strong negotiation, communication, and interpersonal skills both internal and external parties.
  • Demonstrated ability to build and maintain effective relationships with tenants, vendors, and community stakeholders.
  • Creative thinker with a strategic mindset and a passion for transforming spaces into vibrant community hubs.
  • Excellent organizational and project management skills, with the ability to multitask and prioritize effectively.
  • Familiarity with local regulations and market trends in leasing and events management.
